Data Retention and Deletion Policy

What we retain

• Account and license details, for as long as your account is active.
• Submission records and delivered reports, so you can refer back to prior analysis.
• Uploaded documents, in a private storage area tied to the submission.
• Billing records, as required for accounting and tax purposes.

Standard retention periods

• Uploaded source documents: retained for 12 months after report delivery, then deleted.
• Delivered reports and submission metadata: retained for 3 years, so you can reference the analysis.
• Closed accounts: profile records deleted within 90 days of account closure, except billing records.
• Billing records: retained for 7 years where required by law.

Deletion on request

You may request deletion of any submission and its uploaded documents at any time, including before the standard period elapses. Requests are honored within 30 days. Where a report has been delivered, we may retain a minimal record that the report existed — report number, date and account — for dispute-resolution and accounting purposes.

Draft submissions

Drafts you never submit can be deleted by you directly in the portal. Drafts untouched for 180 days are deleted automatically along with any documents attached to them.

Minimizing what you send

Please redact unnecessary personal information before uploading, and never send MLS credentials, lockbox codes, banking information or client documents unrelated to the review. If we identify material of that kind in an upload, we will ask you to replace the document and delete the original.

How to request deletion

Use the delete action on a draft submission in the portal, or email support@offercontour.com with the report or submission number. We confirm in writing once deletion is complete.
